What’s deductible, and how to track it from day one

The habits that capture every legitimate deduction — set up once, maintained in 20 minutes a week.

What “tax-ready” means

A tax-ready business isn’t one that thinks about taxes in April. It’s one where, all year long, every deductible dollar is captured and every number can be backed up. Set these habits up in week one and tax season becomes paperwork instead of panic.

What’s actually deductible

The IRS standard is “ordinary and necessary” for your kind of work. For a service business that typically includes:

  • Equipment and tools — and their repairs
  • Materials and supplies for jobs
  • Vehicle costs for business driving (job to job counts; your commute doesn’t)
  • Phone, software, and booking apps (the business-use share)
  • Insurance, licenses, and training that keeps your skills current
  • Marketing, subcontractors, and professional services — including your accountant
  • A home office, if a space is used regularly and exclusively for the business

The tracking system (20 minutes a week)

  • Snap every receipt the day you spend. Digital photos count; faded thermal paper doesn’t. The IRS wants documentation for expenses over $75.
  • Note the business purpose on anything a stranger couldn’t identify — especially meals (who and why) and big-box store runs.
  • Categorize weekly while you still remember. Vague categories lose deductions; specific ones (fuel, materials, subs, equipment) capture them.
  • Log business miles — date, where, why, miles. The deduction is real money, and the log is what protects it.

Start right, stay ready

Pair this with a separated bank account and our what-to-track checklist, and your first tax season will be the smoothest one on your street.
